This policy explains how Chamberlain Associates uses the personal information you give us when you get in touch, and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).
Who we are
Chamberlain Associates is the trading name of Adrian Chamberlain, an independent consultant based in Bath, England. Adrian Chamberlain is the controller of your personal information. This means he decides how it is used and is responsible for keeping it safe.
If you have any questions about this policy or about your information, email adrian@chamberlainassociates.co.uk.
What information we collect
We only collect the information you choose to give us, through the enquiry form on this website or by email:
- your name, organisation and role
- your email address and, if you give it, your phone number
- your message and anything else you decide to tell us.
You do not have to give us any information, but we need at least your name and email address to reply to you.
Please do not include health information about yourself or anyone else, or any patient-identifiable information, in your message.
How we use it
We use your information only to reply to your enquiry and discuss how we might help and, if you then decide to work with us, to arrange and deliver that work.
We do not use it for marketing, we will not add you to a mailing list, and we never sell your information or share it for anyone else’s marketing. We do not use it for automated decision-making or profiling.
Our lawful basis
UK data protection law says we must have a lawful basis for using your information. Ours are:
- legitimate interests – replying to enquiries about our services is in our legitimate interests, and in yours as the person asking. We only use your information in ways you would reasonably expect.
- steps before a contract – where your enquiry is about working with us, we use your information to take the steps you ask for before entering into a contract.
The tick box on the enquiry form confirms that you have read this policy.
Who we share it with
We do not share your information with anyone else, except:
- LH.pl Sp. z o.o., the company that hosts this website and our email, which stores the information for us on servers in Poland
- where the law requires us to.
Poland is in the European Economic Area, which the UK recognises as giving personal information an adequate level of protection.
How long we keep it
- Enquiries that do not lead to work – we delete them within 12 months of our last contact with you.
- If we work together – we keep the relevant correspondence while the work lasts and for up to six years after it ends, for legal, tax and accounting purposes.
- The enquiry form – your message is sent to us by email and is not stored on the website. If something in the form needs correcting, the website keeps what you typed for up to 15 minutes so it can show the form again with your answers filled in. A scrambled (hashed) version of your IP address is kept for up to one hour to stop the form being misused.
Cookies and visiting this website
We use one necessary cookie, called ca_cookie_consent, to remember your choice in our cookie banner for six months. It is set without asking, because the banner cannot work without it.
Other cookies are optional. We set them only if you agree in the cookie banner, and until then these services are not loaded at all:
- Statistics: Google Analytics, provided by Google. It sets cookies such as _ga to count visits and show which pages people use, so we can improve the website. These cookies last up to two years.
- Marketing: the LinkedIn Insight Tag, provided by LinkedIn. It measures how our LinkedIn adverts perform and helps us show relevant adverts on LinkedIn. LinkedIn sets its own cookies, which last up to one year.
Google and LinkedIn may process this information outside the UK, including in the United States. You can change or withdraw your consent at any time through Cookie settings at the bottom of every page.
The fonts and the introductory film are served from this website itself, not from other companies’ servers.
Like most websites, our hosting provider keeps standard server logs (such as IP addresses, the pages requested and when) for a limited time, for security and to keep the website running.
This website links to LinkedIn. If you follow that link, LinkedIn’s own privacy policy applies.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- ask us to limit how we use your information, or object to us using it
- ask for the information you gave us in a format you can take elsewhere, where this applies.
To use any of these rights, email adrian@chamberlainassociates.co.uk. We will respond within one month. There is normally no charge.
Complaints
If you are unhappy with how we have used your information, please tell us first and we will try to put things right. We will acknowledge your complaint within 30 days.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
We will update this policy if the way we use personal information changes. The date at the top shows when it was last updated.
